The German Hockey Federation e.V. (DHB), based in Mönchengladbach, is an umbrella organisation within the German Olympic Sports Confederation. As the umbrella organization for field and indoor hockey in Germany, almost 400 clubs and 15 state associations are organized in the DHB. The DHB is a member of the International Hockey Federation (FIH) and the European Hockey Federation (EHF). The subject of this invitation to tender is the provision of services by a travel service provider/travel agency that provides all services required and incurred in connection with travel for the DHB and procures travel services as a framework contract partner (travel management). The estimated total value of the travel volume (incl. service fees) is between EUR 700,000 - EUR 900,000 per year.
In particular, the following services are to be provided:- Advice on efficient and economical travel and accommodation options- Personal availability by telephone (24h / 7 days a week) in German or English (no recorded message and no call centre)- Provision of an own IBE (internet booking engine) desirable. The DHB must be able to make bookings on its own responsibility on the IBE according to its own wishes.- An experienced contact person with main responsibility must be named to the client. This exchange must be in German.- Advice on rates, customer discounts and other benefits of the selected service providers- Confidence in dealing with large volumes of luggage due to equipment, physiological couches, etc. (excess luggage management) (excess baggage management)- Early booking without specific name listing- Flexible national and international feeder changes- Advice on travel group management- Airport services through personal assistance at the airport for group travel (assistance with check-in, etc.))- Best-Price-Guarantee at the time of booking by obtaining at least three offers- Booking of flight tickets for business trips- Booking of train tickets for business trips- Hotel bookings (overnight stays, conferences) for the needs of the DHB:Consideration of the location of the hotel according to the wishes of the DHB (especially with regard to travel time to training or competition venues, location of the hotel with regard to noise pollutionPossibility of using rooms for the accommodation of equipment and for the work of supervisors.Flexibility of the kitchen with regard to meal times and the possibility of catering suitable for competitive sport Hotel prices Checking of parking facilities (if necessary) - Car rental bookings in Germany and abroad- Cost-effective rebooking options (including name changes) and cancellations for the aforementioned circumstances- Hotel conference room bookings (min. 50 sqm)- Organisation of airport transfers- Issue of air and rail tickets as well as other travel documents- Provision of visa service- Monthly invoicing of all services provided, ensuring verifiability by means of associated itemised receipts
