Description

The contractor is to provide the Oldenburgisch Ostfriesischer Wasserverband (OOWV) with a total of 154 devices - both printers (workstation and workgroup printers as mono and color devices) and multifunction devices (for printing, copying, faxing and scanning needs) - together with accessories for a contract term of 60 months (with a 12-month extension option). The equipment shall be provided by the Contractor in the form of a lease agreement including service, maintenance and consumables (excluding paper and staples). The multifunction devices and printers shall meet the technical requirements of OOWV and be compatible with the existing system and software environments.
The contractor shall also provide systems for administration, authentication and toner supply. The systems shall be operated in the customer's data network. OOWV shall provide a virtualized server for server operation. The communication of consumption, maintenance and order information from OOWV to the Contractor shall meet the requirements of IT security and data protection of OOWV.The Contractor shall deliver and install the equipment at the - currently - 66 locations of OOWV. The contractor is obliged - also during the contract period - to install the devices ready for operation (with IP address of the old exchange device) and to prove the commissioning to OOWV (e.g. by status page of the device). After the order has been placed, the contractor will prepare and implement a rollout plan together with OOWV. The dismantling of the installed old devices will be carried out free of charge for OOWV as part of the rollout. The dismantling of the new equipment at the end of the rental period is already covered by the rental price.The Contractor shall provide for the operation of the document processing equipment. The tendered operating model includes in particular- technical support via a central service hotline,- repair of the equipment (repair service) by authorized and professionally qualified personnel on site,- maintenance by means of regular servicing of the equipment (proactive maintenance service),- an automatic call-off system for wearing parts and consumables,- provision of a central service contact person or service manager,- the guarantee of cost transparency via a simplified and clearly structured billing model, and source-based cost allocation,- reports on the utilization of the operated devices,- improvement of repeat orders during the contract period,- analog fax function for the desired multifunction devices,- a standardized service level agreement, and- the introduction of a high-performance, central fleet administration and management solution.Finally, the multifunction devices must have a user authentication facility. The use of multifunction devices and the planned centralization of output systems must ensure secure processing/printing of documents. Furthermore, all authenticated OOWV employees should be able to print from mobile devices via central multifunction devices throughout the company without any effort. OOWV will only permit devices for operation that can be protected from unauthorized administration and configuration access. The data stored on the integrated hard disks must be irrevocably deleted after the write operations. When systems or data carriers are replaced during the operating phase and when systems are returned at the end of a contract term, all data must be deleted by the Contractor.
