Rental and maintenance of 104 brand-new (1st approval) and networked copying and printing systems (all with color function).
The subject of the service is the rental and maintenance of 104 brand-new (1st approval) and networked copying and printing systems (all with color function). A BVB rental contract is to be concluded with a term of 48 months. If the contract is not terminated in writing 6 months before expiry of the contract term, the contract shall be automatically extended once by 12 months.The new devices must be in working order in the offices (Item 11 of the specifications and Appendix 1 Location List) no later than 01.02.2024.Technical framework conditionsThe following system environment must be taken into account for the network integration:-Client operating systems: Windows 10, Windows 11-Server/network operating systems: Windows Server 2012 R2, Windows Server 2016, Windows Server 2019-Network connection Ethernet RJ45/Twistet Pair (1GBit)-Network protocols:TCP/IP; DHCP capable-Page description languages: PCL 5 / PCL 6 / LPD/LPR-Applications: Microsoft Office all versions from 2010, SAP/R3 (from segment 3)-Software requirement:-Devices configurable via remote tool over the network (web interface)-Firmware updates of the devices will be made available for download in a timely manner at no additional cost - beyond the prices stated in the price sheet-The remote firmware update function as well as the entry of administrative settings must be protected via pin or password entryPerformance requirementsThe machines to be offered must meet the following minimum requirements:The safety rules for office workstations in the version valid at the time the offer is submitted.The generally recognized rules of technology (e.g. DIN 31000, DIN 31001 or equivalent). The client will receive written confirmation of the BSI-compliant (or equivalent) deletion. The same shall apply in the event of a defect in the storage medium during the term of the contract.-Black/white printing must be presettable as standard in the driver.Sending of the scan as PDF by email (SMTP)Scan quality: 600dpiSelection of the scan recipient from address bookGeneration of the address book by LDAP query on the Active Directory (AD); possibility of restriction to an organization unit or an LDAP path in the AD.-.It must be possible to configure the device in such a way that sending is guaranteed exclusively to recipients in the address book and not to freely input (i.e. external) e-mail addresses.-.As far as systems with further, not required interfaces and/or modules (e.g. GSM/WLAN/Bluetooth/NFC/USB etc.) are offered, these functions must be deactivated and it must not be possible to activate them uncontrolled (without administrator password).-.The device automatically reports fault messages and the need for consumables (toner) - except for paper and staples - to the contractor and to a central e-mail address of the customer via e-mail, a remote tool, appliance or comparable.- Consumables deliveries are carried out (Mon.-Fri.) within two working days after ordering. In addition to ordering and delivery, which is basically automated, it must also be possible to order consumables by telephone or e-mail at no additional cost.-The devices must be able to independently send meter readings to a preset e-mail address of the customer on a monthly basis.-The meter readings reported by the systems are bundled (internally) and forwarded to the contractor after approval.-The meter readings are sent to the contractor by e-mail.In order to centrally collect the meter reading information and transmit it to a predefined mail address of the client, the use of an appliance (or other tool) is permitted if this process takes place exclusively "internally" and there is no automated communication to the "outside".-All devices are pooled.-Cabling is carried out by the client.
