Description

Characteristics: The regulations are DIN A6 forms with a grammage of approx. 90 g/qm. In 85 % of the cases, the accounting centres (see Annex 8) pack the ordinances in standardised cardboard boxes measuring 12 cm x 17 cm x 40 cm (WxDxH). The boxes are marked with stickers containing the following information: The contractor shall either secure damaged cartons with adhesive tape/foil or repack them in new cartons - with the inscription supplemented. Each carton contains approx. 3,000 regulations and quantities: On average, the billing centres bill a total of around 1 944 000 prescriptions per month. This value is based on evaluations of the years 2017/2018 with constant development until 2019. The quantities may vary in the future due to possible digitisation measures or may be completely adjusted.Delivery and storage: The pharmaceutical regulations of the AOK Nordwest are delivered directly from the accounting centres to the storage location of the contractor after prior appointment. The AOK NORDWEST consultation hour requirement ordinances, which are delivered separately from the computer centres, are delivered directly to the contractor's storage location. The office hour requirements regulations will be requested by the client for testing purposes at a later date. For organizational reasons, the delivered ordinances from the regions Schleswig-Holstein and Westfalen-Lippe must be stored separately from each other. Drawing: Approx. 600 medication and consultation-hour ordinances (7,200 ordinances/year) are required monthly by the client for testing purposes. These are generally requested twice a month, or separately in special cases (e.g., to comply with deadlines, investigations by the public prosecutor's office, etc.). The corresponding requirements shall be sent to the Contractor by previously named or authorised employees of the Customer by encrypted e-mail. The encryption method, e.g. PGP or S/MIME, is specified by the client. The contractor takes the requested regulations from the stored stock and dispatches them free of charge within 3 working days (excluding Saturdays, Sundays and public holidays) by parcel service or courier to the address of the client. After completion of the examination, the client sends the drawn regulations back to the contractor by parcel service or messenger. However, the latter does not file the ordinances at the previous place of removal, but in separate cartons with the inscription and structure described in the service description. The Contractor shall document the drawings over the entire term of the contract and shall make the documentation available to the Principal upon request. Provision for destruction: No later than four weeks after expiry of the statutory storage obligation, the Contractor and the Principal shall agree on the timing and organisation of the collection of the relevant cartons for destruction in accordance with data protection regulations. The further task of the contractor is to provide the cartons according to the inscription (accounting period) on the agreed pick-up day logged in a security lock.
